Booking Procedures 

All of our cottages are listed on the Calendars/Availability page and from there on the 3 month calendar pages, showing you each cottage's availability.

When you have chosen the cottage and are ready to proceed, we will forward you a rental agreement along with additional booking information.  You are to fill in and sign the rental agreement and return by mail to Northern Retreats.  Along with the rental agreement we require 1/3 of the rental amount as a booking deposit, $56.50 non refundable administration fee. The remainder plus refundable damage deposit are due in the form of a post dated cheque dated 4 weeks prior to the rental date.  Once received, we will contact you and forward additional cottage information including directions to the cottage and lock box information.

Trip Cancellation Insurance

Our Cancellation policy is as follows: A cancellation of booking sixty days or more prior to rental period will result in a refund of half of the booking deposit. A cancellation of rental after sixty days prior will result in loss of all monies paid.

We strongly encourage you to purchase Trip Cancellation Insurance from:

Ingle International --For information on Travel Insurance and Trip Cancellation please call: 1-800-360-3234 or 416-730-8488 or by email at helpline@ingleinsurance.com. Monday-Friday 8am-9pm and Saturday 9am-5pm. Their website is available 24/7 at Ingleinternational.com but they do not have ( trip cancellation) offered online only by phone or email for someone travelling in their home province ( so if you are from Ontario travelling within Ontario you must call or email). Make sure you let them know that you are travelling in your home province and they will find you the appropriate package. An example: if you are renting a cottage for $2000.00/wk and there are 2 families you take $2000.00/8= 62.00/person or $250.00/family ( this is the lowest package they have available)

Methods of Payment:

Regular bookings: A cheque made payable to Northern Retreats and sent to:

Northern Retreats ~ Box 278 ~ Kearney, ON ~ P0A 1M0

Booking made less then 2 weeks prior to the rental: You are required to pay in full for the rental including your refundable security deposit in the form of a certified cheque or money order and send to the address above via Express Post. Any charges accrued by the agents bank on behalf of insufficient funds, overseas wire transfers or stop payment required due to wrong address given or such will be charged to the renter out of their security deposit or they will be sent notification to reimburse us within 2 weeks.

Non refundable administration fee on all confirmed bookings: $56.50.

There will be a charge of $25.00 for all NSF cheques.

Rental Expectations

Check in and check out: 

All cottages represented by Northern Retreats are cleaned and inspected between each rental.  Some cottages have different check in and out times so please refer to your Rental Agreement for times specified for the cottage you will be spending your vacation at.  These times are to be followed and there are no exceptions.

Cancellation:

Maximum Adults:

There is a maximum number of adults in each cottage. The tenant is responsible to report the number of adults occupying the property. If you are above the cottages maximum limit of adults and the owners and agents both agree to the rental you are subject to a charge of $50.00 per adult over. If the tenant neglects to report the full number of adults occupying the property and somehow that knowledge is gained either by Northern Retreats checking property during your stay, neighbor reporting back or owner noticing, etc…you will be charged double the adult over charge.  MAKE SURE YOU REPORT FULL NUMBERS ATTENDING THE COTTAGE AND ALSO GUESTS BEFORE YOUR RENTAL.

Garbage: 

 The tenant is responsible for the disposal of all garbage from the property upon departure.  There is $60.00 fee if garbage is left on the property, which will be subtracted from your security deposit before it is returned

Pets and Smoking:

 If you have animals and or smoke, please notify the Landlord's Agent at the time of booking as each cottage has different rules and regulations.  You are encouraged to clean up after your pets, both inside the cottage and out. 

Further Details on Pets: Poop and scoop. A $50.00 charge will be deducted from your security deposit if you did not clean up after your pets outside the cottage.

Further Details on Smoking: SMOKING IS NOT PERMITTED IN ANY OF OUR COTTAGES…SMOKING IN ONE OF OUR COTTAGES WILL  RESULT IN TOTAL LOSS OF YOUR SECURITY DEPOSIT WITHOUT QUESTION. $50.00 will be deducted from your security deposit if cigarette butts found on cottage property. Please use an ashtray or a can when outside.

Security Deposits:

The security deposit is held for up to forty days after departure and is subject to loss upon damages found.  If no damages found on inspection by the agent, the security deposit will be refunded in full. The security deposit is only held for up to 40 days if the cottage allows long distance calls to allow us enough time to receive the phone bill and verify the charges. 

Inventory:

 The cottage will be inspected including an inventory count after departure and before the next rental check in. The cottage is expected to be found in the same condition as when you arrived. 

 Personal Belongings:

 You are responsible to remove all personal belongings from the cottage, but in the event that something gets left behind you will be charged a fee from your security deposit to cover the costs of sending the items back, including the cost for Northern Retreats to retrieve the item from the cottage.

 Linens:

  You are required to bring your own linens including sheets, pillows, blankets and towels.  All linens found at the cottage belong to the owner and are not to be used, unless included in the rental contents form. There is a minimum of $50.00 charged from your security deposit if any linens in the cottage are used.

Lock Box

Should the lock box be removed from the cottage and lost you will be charged $60.00 for replacement.

Propane: 

You are responsible to provide your own propane for the barbeque. There will be a tank at the cottage and you will be provided the directions to the nearest propane refill station. It may or may not be full when you arrive and it is an on your honor system. If it’s full when you arrive then make sure it is full when you leave. If it is empty when you arrive then you will have to get it filled.

Trees:

 You are not to remove any birch bark from the trees on the property. Nor are you to cut down any trees. If damages are found on inspection, the security deposit is subject to loss in full.

Remedy of Breach of Contract:

The agent or the cottage owners may enter the premises following a complaint or suspicion of breach of contract. When a breach of contract exists, the rental is terminated and the tenant forfeits all monies paid.

Complaints:

If you have a complaint you must notify the agent immediately so that the issue can be dealt with and rectified as soon as possible. Northern Retreats will not consider any compensation required by a renter that brings up issues following their departure. 

Signature on Rental Agreement:

Whomever signs the Rental Agreement authorizes that he/she agrees to the Terms and conditions listed above and  is over the age of eighteen as well as being  a member of the party to attend the cottage for the agreed time period. He/she also agrees to take full responsibility for the whole party occupying the property.
